What we collect, why, and for how long
| What | Why we use it | Our legal basis | How long we keep it |
|---|---|---|---|
| Enquiries. Your name, email, company, what you need, hours, how you will record, when, dates and project description, sent through our form, by email or by phone. | To reply, give you a quote and arrange your project. | Taking steps at your request before a contract (UK GDPR Article 6(1)(b)), and our legitimate interest in running our business (6(1)(f)). | 24 months after your enquiry if no work follows, then deleted. |
| Clients. Contact details, project briefs and scripts, recordings and files, invoices and payment records. | To do the work you hired us for, deliver your files and keep our accounts. | Contract (6(1)(b)), and legal obligation for tax and accounting records (6(1)(c)). | Accounting records for 6 years. Project files and recordings for [how long? for example 12 months after delivery] in case of revisions, then deleted unless you ask us to keep them longer. |
| Website technical data. Your IP address, the pages you request and the time, recorded by our web server. | Security and fixing problems. | Legitimate interests (6(1)(f)). | No more than 30 days. |
| Room check. Your name, email, a short recording of your voice and room, your notes about your setup, and rough sound levels measured by your browser. Sent through the “Room check” page. | To listen to your recording and advise you on recording at home or in the studio. | Your consent (UK GDPR Article 6(1)(a)), which you give by ticking the box and pressing send. You can withdraw it at any time by emailing us and we will delete your recording. | The recording is emailed to us and is not stored on the website server. We delete it from our email within [3 months, or change to match what you will actually do] unless you become a client, when it is treated as project data. |
| Microphone check. The “Say hello” feature on our home page. | It draws your voice as a waveform so you can try a mic check. | Your choice. It only runs if you press the button and allow your browser to use the microphone. | Nothing is sent to us or saved. If your browser can, it keeps up to 30 seconds of your voice in its own memory so you can play it back, and discards it when you press the button again or leave the page. |
We do not use your details for marketing and we do not send newsletters. If that ever changes, we will ask you first.
You do not have to give us this information, but we cannot reply to an enquiry without a way to contact you.
